Private AI for small and mid-size accounting firms

Use AI with confidential client files without sending them to a public or third-party AI model.

Secure Accounting runs on premises, supporting research, document review and drafting while keeping accountants in control. It is powered by SAIA (Secure Accounting Internet Appliance), IntelekIQ’s private AI infrastructure for accounting practice.

Conceptual animation of private AI for an accounting firm. Outside the firm boundary, brass dots represent client ledgers and files and green dots represent standards and rulings. They pause at a gateway unit and enter the Secure Data Core if human-verified; red signals are rejected. Inside, principals, seniors, accountants, and firm staff exchange with a central private AI and knowledge base. Client numbers do not leave.

The practice’s dilemma

Staff will use AI. Clients still expect confidentiality.

AI tools are already part of everyday working life. Without a secure alternative, staff may use public AI for client work, potentially exposing confidential information beyond the firm’s control.

Simply banning public AI does not solve the problem. Firms need a practical way for staff to benefit from AI while protecting confidential client work.

The competitive squeeze

Smaller firms need the benefits of AI without enterprise-scale complexity

Large accounting firms can invest heavily in enterprise AI platforms, infrastructure and specialist support. For small and mid-size firms, those options may be too complex or costly.

Secure Accounting is designed to give smaller firms access to private AI while keeping confidential client work under the firm’s control.

Business value

Use AI productively while keeping confidential work under your control

Secure Accounting helps accountants with research, finding relevant previous work and preparing first drafts, while confidential client information remains within the firm’s control.

  • 01

More capacity from the same team

AI can handle some of the preparatory work around research, previous files and first drafts, giving accountants more time for professional judgement and client work.
  • 02

    Governed AI use

Staff have a firm-approved way to use AI for confidential client work, reducing reliance on public AI tools.
  • 03

Confidentiality you can explain to clients

The firm can clearly explain how AI is used with confidential client information and what safeguards are in place.

What Secure Accounting is

Private AI that works with your firm’s accounting knowledge

Secure Accounting is an on-premises private AI system that works with confidential client files and the firm’s own accounting knowledge.

Accountants can use it to research, find relevant information across authorised files, review documents and prepare drafts without sending confidential material to a public AI model.

  • 01

    Private by design

Secure Accounting runs on premises, keeping confidential client files within the firm’s controlled environment.
  • 02

    Works with your firm’s knowledge

Secure Accounting can work with authorised working papers and previous files, helping accountants find and use relevant information more efficiently.
  • 03

    Accountants remain in control

AI-generated research, summaries and drafts support the accountant’s work; they do not replace professional judgement, figures or sign-off.

Who does what

Clear responsibilities. Humans stay accountable.

AI can help with research, document review and drafting. It cannot take professional responsibility for the result. A firm still needs an accountant to review the work, and a clear policy for how AI is used.

Secure Accounting is built around that split, so staff, principals and IT share the same understanding of who does what.

  • 01

    Accountants

Review AI-generated work and remain responsible for professional judgement, figures, client advice and anything that leaves the firm.
  • 02

    Secure Accounting

Supports accountants with research, finding relevant documents, reviewing information and preparing drafts. It assists; it does not make professional decisions.
  • 03

    Principals, compliance & IT

Set the rules for how AI is used, who has access and what oversight is required, so Secure Accounting is used consistently and responsibly.

Current tax rules, inside the firm

Better answers start with reliable sources

Secure Accounting works with a firm-controlled library of tax legislation, standards and regulator guidance for the jurisdictions in which the firm practises. Accountants can check the sources behind an answer rather than relying on unsupported AI-generated information.

The library is deliberately kept up to date. New and amended material is checked before being added to approved firm knowledge.

Secure Accounting can also draw on authorised previous work and client files, helping accountants combine current rules with the firm’s own experience. AI assists with the research and drafting; accountants verify the sources and remain responsible for the outcome.

How answers get better over time: hold current legislation inside the firm, verify against it without inventing, harden with prior client work, keep human review, and deliberately keep the library up to date.
Five habits that reduce the chance of invented AI authorities: start from the firm’s own files, show sources, say when support is missing, check outside research before it becomes firm knowledge, and require a lawyer or accountant to sign off before advice or filings leave.

Hallucinations & accountability

AI can be wrong. Accountants remain responsible.

AI can produce convincing but inaccurate information, including incorrect figures or fabricated references to tax rules. Secure Accounting is designed to reduce that risk by grounding its work in approved sources and making those sources available for accountants to check.

It does not remove the need for professional judgement. Accountants must review AI-generated work, verify the supporting sources and remain responsible for anything provided to a client or filed with a regulator.

Sovereign AI

Own the assistant that reads confidential work

Public AI remains useful for general, non-confidential work. Secure Accounting gives the firm its own AI capability for confidential client work, running on premises and under the firm’s control.

A Copilot or Gemini seat in the office suite is a different purchase. Those tools are a rented assistant: useful, and still operated by someone else. Secure Accounting is a path the firm operates, beside the systems it already runs.

Why it matters where AI processes your files

Storing files in the cloud is not the same as sending them to an AI model

Many firms already use cloud services such as Microsoft 365 or Google Workspace to store and manage files. The important distinction is what happens when AI processes confidential client information.

With Secure Accounting, that processing takes place on premises, under the firm’s control. Confidential client files do not need to be sent to a third-party AI model for processing.

Frontier Mode

A controlled way to use external AI when you need it

Secure Accounting keeps confidential client work on premises by default. Frontier Mode allows accountants to use an external AI model for selected tasks without sending identifiable client information with it. Before anything leaves the firm, Secure Accounting applies reversible pseudonymisation: names and identifiers are replaced with placeholders, not redacted.

You review and approve what is sent. The pseudonymised text is then processed by the external AI model, and the response is returned to Secure Accounting. Original identifiers are restored within the firm’s controlled environment.

Frontier Mode is optional and used only when needed. Its output remains subject to accountant review.

Frontier Mode in four steps: pseudonymise, approve, frontier, restore. Human preview is required; the result is restored under firm control for review.

Knowledge & workspace

Your firm’s knowledge in one private workspace

Secure Accounting brings authorised client files, previous work and tax sources into a private workspace where accountants can research, review documents and prepare drafts.

It sits beside the ledger and tax systems the firm already uses. It does not post entries or replace the official record. Access is controlled by the firm, so accountants work only with the information they are authorised to use. AI conversations and outputs remain within the firm’s on-premises environment.

For smaller firms

Private AI without enterprise-scale complexity

Secure Accounting gives small and mid-size accounting firms access to private AI without the cost and complexity of a large enterprise AI platform.

It provides practical AI capability for research, document review and drafting, while keeping confidential client work on premises and under the firm’s control.
